How to Clean Up a Messy Address Book

You know it's bad. Contacts with no phone number. Three entries for your dentist. An email address that's clearly a typo. Someone named "Dave" with no last name and no other details.

What "Messy" Actually Looks Like

Most people don't realize how many problems are hiding in their address book. Saropa checks for all of them:

  • Duplicates — contacts that are clearly the same person, even when names don't match exactly.
  • Missing phone numbers or emails — contacts that exist but can't actually be reached.
  • Incomplete addresses — partial addresses that won't work for navigation or mailing.
  • Invalid email formats — typos like "gmail.con" or missing @ signs.
  • Missing birth years — birthdays saved without a year, so age-based features don't work.
  • Ghost contacts — entries with a name and nothing else.
  • Job title without a company — or a company without a job title.

Step by Step: Clean Up Your Address Book

1. Open Data Quality

Open Saropa Contacts and go to Data Quality from the main menu. Saropa scans your entire address book and shows a summary of what needs attention.

2. Check Your Completeness Scores

Every contact gets a score from 0 to 100%. A contact with a name, phone, email, and address scores high. "Dave" with nothing else scores low.

3. Fix What Matters

Saropa flags exactly what's missing or broken for each contact. Tap any contact to see:

  • What fields are empty.
  • What looks invalid (email typos, impossible dates).
  • Suggested fixes.

You decide what to fix. Saropa doesn't change anything without your approval.

4. Merge Duplicates

Duplicates are the biggest source of mess. Saropa groups them automatically — tap Duplicates from the main menu and merge matches in one tap.

5. Review the Results

After cleaning up, your completeness scores improve and your overall data quality summary updates. The next scan will be shorter — most of the work is done.

Tips for Keeping It Clean

  • Run a scan after importing. Every time you add contacts from a new source, run a quick data quality check.
  • Sort by completeness score. The lowest-scoring contacts are the ones most likely to be junk or duplicates.
  • Delete the ghosts. Contacts with just a name and nothing else are rarely useful. Review them and delete the ones you don't recognize.
  • Check quarterly. A quick scan every few months catches new problems before they pile up.
